Privacy Policy

Effective Date: January 15, 2026

We're Roadovaex Labs, and we take your privacy seriously. This isn't one of those policies written by lawyers trying to cover every possible scenario in dense legal jargon. We want you to actually understand what happens with your information when you interact with us.

Since we operate in Spain and work with clients across the European Union, we follow GDPR regulations. But more than that — we believe in transparency because trust matters in our field.

Who We Are

Roadovaex Labs specializes in creating immersive AR and VR experiences. We're based at Edf. Baobab, 14014 Córdoba, Spain. When we talk about "we," "us," or "our" in this document, that's who we mean.

You can reach our privacy team at support@roadovaexlabs.com or call +34983182847 if you have questions about anything in this policy.

What Information We Collect

Let's be direct about what we gather and why. We only collect information that helps us provide better service or that's required for legal reasons.

Information You Give Us Directly

When you fill out a contact form, sign up for our programs, or communicate with us, you might share:

  • Name and contact details (email address, phone number)
  • Professional background and interests in AR/VR technology
  • Technical specifications about projects you're working on
  • Feedback and questions you send our way

Technical Information We Collect Automatically

Like most websites, ours gathers some technical data when you visit:

  • IP address and general location information
  • Browser type and device specifications
  • Pages you visit and how long you spend on them
  • Referring websites and search terms that brought you here

Worth noting: We don't use invasive tracking. Our analytics help us understand which content is useful and which pages need improvement. That's about it.

How We Use Your Information

Here's where your data actually goes and what we do with it. No hidden agendas.

Purpose Details
Responding to Inquiries When you contact us, we use your information to answer questions and provide the technical details you need about our AR/VR solutions.
Service Delivery If you work with us on a project, we process your data to coordinate development, share updates, and deliver the experience you hired us to create.
Program Management For educational programs, we maintain records of participation, progress, and communication related to the learning experience.
Website Improvement Analytics data helps us understand which resources are helpful and where people get stuck, so we can make the site more useful.
Legal Compliance Sometimes we're required to keep records for tax purposes or business documentation under Spanish and EU law.

We don't sell your information. Period. That's not our business model, and it never will be.

Legal Basis for Processing (GDPR Speak)

GDPR requires us to explain the legal justification for processing your data. Here's the breakdown:

  • Consent: When you fill out forms or subscribe to updates, you're giving us permission to use that information.
  • Contractual Necessity: If we're working together on a project, processing your data is essential to delivering what we agreed to provide.
  • Legitimate Interests: We have a business interest in improving our website and understanding how people use our resources, balanced against your privacy rights.
  • Legal Obligations: Spanish and EU regulations require us to maintain certain records for tax and business purposes.

Who We Share Information With

We keep your information in-house as much as possible. But there are a few situations where sharing is necessary:

Service Providers

We work with trusted companies that help us run our business. This includes web hosting providers, email services, and analytics platforms. These partners can only use your data to provide services to us — they can't use it for their own purposes.

Legal Requirements

If Spanish authorities or EU regulators require information as part of a legal investigation, we'll comply with valid legal requests. We'd notify you if legally permitted to do so.

Business Transfers

In the unlikely event that Roadovaex Labs is acquired or merges with another company, your information would transfer as part of that transaction. You'd be notified if this happens.

International Transfers: Some of our service providers operate servers outside the EU. When this happens, we ensure they meet EU data protection standards through approved transfer mechanisms.

Your Privacy Rights

Under GDPR and Spanish data protection law, you have substantial control over your personal information. These aren't just theoretical rights — we actually honor them.

Access and Portability

You can request a copy of all personal data we hold about you. We'll provide it in a structured, commonly used format within 30 days. If you want to transfer this information to another service, we'll make that easy.

Correction and Updates

Spotted an error in your information? Let us know, and we'll fix it promptly. You can also update your contact details or preferences at any time.

Deletion (Right to be Forgotten)

Want us to delete your information? In most cases, we'll do exactly that. There are a few exceptions — like when we're legally required to keep records for tax purposes — but we'll explain if that applies.

Object to Processing

You can object to how we're using your data, particularly for marketing purposes or legitimate interest processing. We'll stop unless we have compelling legal grounds to continue.

Restrict Processing

If you're concerned about the accuracy of your data or the legality of how we're processing it, you can request that we temporarily restrict what we do with your information while we investigate.

Withdraw Consent

For processing based on consent, you can withdraw that permission at any time. This doesn't affect the legality of processing that happened before you withdrew consent.

To exercise any of these rights, email us at support@roadovaexlabs.com with your request. We'll verify your identity and respond within 30 days.

How We Protect Your Information

Security isn't just about technology — though we use industry-standard encryption, secure servers, and regular security audits. It's also about internal practices.

Access to personal data is limited to team members who genuinely need it for their work. We use secure authentication methods, regularly update our systems, and monitor for suspicious activity.

That said, no system is 100% secure. We do our best to protect your information, but we can't guarantee absolute security. If we discover a data breach that affects you, we'll notify you and the relevant authorities as required by law.

Data Retention

We don't keep information longer than necessary. Here's our general approach:

  • Inquiry Data: Contact form submissions and general inquiries are kept for 2 years, then deleted unless we're actively working together.
  • Project Information: Client project data is retained for 5 years after project completion for portfolio purposes and potential follow-up work.
  • Financial Records: Invoices and payment information are kept for 7 years to comply with Spanish tax regulations.
  • Analytics Data: Website analytics are aggregated and anonymized after 14 months.
  • Marketing Consent: If you've opted into updates, we'll keep your contact information until you unsubscribe or for 3 years of inactivity, whichever comes first.

These are guidelines. If you request deletion earlier, we'll honor that unless legal requirements prevent us from doing so.

Cookies and Tracking

Our website uses a small number of cookies — those little data files that help websites remember you. We're not into aggressive tracking.

Essential Cookies

These keep the website functioning properly. They remember your language preference and maintain your session as you navigate between pages.

Analytics Cookies

We use basic analytics to understand which pages are useful and how people navigate the site. This helps us improve the experience. These cookies don't identify you personally — they just track general patterns.

You can control cookies through your browser settings. Blocking essential cookies might affect website functionality, but you'll still be able to access most content.

Children's Privacy

Our services aren't designed for children under 16. We don't knowingly collect information from minors. If we discover we've accidentally gathered data from someone under 16, we'll delete it promptly.

If you're a parent and believe your child has provided us with personal information, contact us immediately at support@roadovaexlabs.com.

Changes to This Policy

Privacy practices evolve, and regulations change. We'll update this policy when necessary and post the revised version on this page with a new effective date.

For significant changes that materially affect your rights, we'll notify you directly via email if we have your contact information. Otherwise, the updated policy will be posted here, and continued use of our website constitutes acceptance of the changes.

Complaints and Supervisory Authority

We hope to resolve any privacy concerns directly, but you have the right to lodge a complaint with a supervisory authority. In Spain, that's the Agencia Española de Protección de Datos (AEPD).

You can reach them at:

Agencia Española de Protección de Datos
